Zoho CRM
Zoho CRM is the customer relationship management system at the center of Zoho's business software family, used by about 350,000 businesses over 21 years. It manages leads, contacts, accounts, deals and custom modules, with pipeline management, sales forecasting, territory management, Blueprint process enforcement, workflow rules and quotes. Sales teams can send mass email from the record system, track SalesSignals from customer touchpoints, and connect telephony, calendars and file storage.
Zia, Zoho's AI layer, adds lead and deal predictions, anomaly detection on sales trends, assignment and workflow suggestions, data enrichment from email signatures, and intent and sentiment reading on incoming email. Zoho built its own language model family, Zia LLM, in three sizes from 1.3 to 7 billion parameters and runs it in its own data centers. Customers who prefer outside models can connect ChatGPT, Llama or DeepSeek instead. Zia Agent Studio builds agents that run autonomously or on rule triggers, which developers can also reach from Cursor, VS Code or Claude Code, and an MCP server opens Zoho actions to outside assistants within existing permissions.
A free edition covers three users with 5,000 records and 5,000 API calls a day. Standard, Professional and Enterprise cost $14, $23 and $40 per user per month on annual billing, or $20, $35 and $50 month to month. Ultimate, aimed at large bespoke deployments with the highest limits, expert consultation and migration help, sits off the main price grid. The editions decide a good deal of the bill: AI agents and Blueprint start on Professional, sandboxes, field level encryption and the wider Zia features on Enterprise, and storage, backups and sandbox counts rise by edition, with extra storage and backups sold as priced add ons. Onboarding help comes free.
Zoho owns its infrastructure. Accounts are placed in a regional data center chosen by the sign up country, with sites in the United States, Europe, India, Australia, China, Japan, Canada, Saudi Arabia and the UAE, and the company holds SOC 2 Type 2, ISO 27001, 27701, 27017 and 27018 certifications. Zia LLM was trained without customer data.
Zoho CRM suits small and midsize sales teams that want a broad record system at a low per seat price, and companies already running other Zoho applications such as Desk, Campaigns or Books. Larger organizations reach for Ultimate or the CRM Plus bundle, which adds support, marketing and analytics applications in one license.

Leads, deals, forecasting, Blueprint, workflows and reporting all run without Zia. The AI layer adds predictions, anomaly detection, assignment and workflow suggestions, email intent and sentiment, signature enrichment, and agents built in Zia Agent Studio, and most of it unlocks only on Enterprise and Ultimate. Owning its model family is unusual for a CRM, yet removing the AI still leaves a complete record system.
Zia Agent Studio agents can run autonomously, fire on rule based automation or join customer conversations, and they act through an MCP server inside the user's existing permissions. Workflow suggestions arrive for an admin to accept. What an agent may change without approval, how a run is reviewed and how a faulty agent is stopped are not set out.
Zia LLM is Zoho's own model family in 1.3, 2.6 and 7 billion parameter sizes, built for extraction, summarization, retrieval and code generation and hosted in Zoho data centers. Customers choose whether to use it or connect ChatGPT, Llama or DeepSeek through the AI integration layer. How lead and deal scores are produced is not explained, and email drafted with Zia carries no AI label for the recipient.
Scale is the headline: about 350,000 businesses over 21 years. Customer results arrive as quotes, such as an oil and energy company describing a 15 to 25 percent gain in internal information sharing, without a population, period or measure behind them. Nothing ties Zia predictions or agents to forecast accuracy, conversion or win rates.
Mass email ships on every paid edition, and the terms bar junk mail and unlawful transmissions. Consent capture, opt out handling and CAN SPAM or GDPR obligations for those sends are left with the customer, and larger campaign programs move to the separate Zoho Campaigns product. As a record system, Zoho CRM sends far less than an engagement platform does.
Zoho holds ISO 27701 for privacy management, runs data protection impact assessments and offers a Data Processing Addendum built on model contractual clauses. That addendum comes by email request to the legal team, naming the account's data center, rather than as a signable online document. Data subject rights and the six lawful bases are set out for controllers, and Zoho takes no advertising revenue from customer data.
Records are the customer's own. Zia data enrichment on Enterprise adds company size, industry and revenue, and earlier editions can enrich contacts from Twitter and Facebook profiles. The source behind enriched company attributes and the license under which they are supplied are not stated, nor what happens to enriched fields after cancellation.
Email runs through Zoho's own mail infrastructure and connected mailboxes, and calendar, task and file links use Google, Microsoft, Dropbox and Zoho WorkDrive connectors. Social profile enrichment reaches into Twitter and Facebook, with the access method left unstated. Third party extensions arrive through the Zoho Marketplace.
Zia LLM was trained without customer data, and running it in Zoho's own data centers keeps prompts and records away from outside model providers. Zia's narrower models train and run on each customer's own records. A customer who connects ChatGPT or another outside model sends data to that provider under its terms. Retention for AI inputs and outputs is not given.
Most AI here works on internal records. Agents can be called into customer conversations, and email can be drafted with Zia, yet nothing tells a recipient that software wrote or sent a message. Zoho has not addressed Article 50 of the EU AI Act for these features.
A versioned REST API reaches every module, with 5,000 API calls a day even on the free edition, plus webhooks, Deluge scripting and custom modules for extending the object model. The Zoho Marketplace carries third party extensions, and native links to Desk, Campaigns, Books and SalesIQ share records inside the Zoho family. An MCP server exposes Zoho actions to outside agents within the user's permissions, and QuickBooks sync arrives on Enterprise.
Zoho owns and operates its data centers. The sign up country assigns each account to a regional pair, with sites in the United States, Europe, India, Australia, China, Japan, Canada, Saudi Arabia and the UAE, each listed with its own certifications. European customers land in the European data center, and Zia LLM runs in the United States, India and Europe. A single tenant option is not described.
The compliance center lists SOC 2 Type 2, SOC 1 under SSAE 18 and ISAE 3402, SOC 2 with HIPAA, ISO 27001, 27701, 27017, 27018 and 9001, each with download steps and a validity date. SOC audits run December to November, with reports about three months later. Data center sites carry their own PCI DSS, CSA STAR and regional certifications.
Standard, Professional and Enterprise cost $14, $23 and $40 per user per month on annual billing, or $20, $35 and $50 monthly, and three users run free. Ultimate, for large bespoke deployments, no longer carries a figure on the main price grid. Record limits, file storage, import batches, backups, sandbox counts and Zia features are set per edition, and extra storage and backups carry list prices. Prices render in the buyer's local currency, onboarding help is included, and deeper implementation through Zoho or partners is quoted separately.
Every module exports, and paid editions include up to four full data backups a month, with extra backups at a list price. Subscriptions renew automatically unless the customer gives notice seven days before the renewal date. Unpaid accounts inactive for 120 days may be deleted after notice and a chance to back up. A deletion timeline after a paid subscription ends is not given.
Mass email from Zoho CRM goes out on every paid edition. Warmup, sender reputation monitoring, bounce thresholds and volume governance for those sends are not described, and high volume marketing is routed to Zoho Campaigns instead. Day to day email runs through the rep's connected mailbox.
About 350,000 businesses use Zoho CRM, from free three user teams to Ultimate deployments with bundled analytics. Regional data centers on five continents and local currency pricing show its international reach, and several Zia features work only in English or for organizations of 20 users and up. The split of customers by size or industry is not given.
