CRM & Systems of Record

Insightly

Insightly is a CRM for small and midsize businesses that want sales, project delivery and, if they choose, marketing and support on one data platform. The record system covers leads, contacts, organizations and opportunities, with customizable pipelines, lead assignment and routing, workflow automation, bidirectional email sync, mobile business card scanning and dashboards with more than 40 chart types. Won opportunities convert to projects, so service firms can carry a deal straight into delivery.

AI Copilot, on Professional and Enterprise, answers questions and automates tasks within a monthly query allowance, and AI drafts email summaries and replies. Enterprise adds sandboxes, custom validation rules, calculated fields, products, price books and quotes, SAML and SCIM sign on, audit logging and the ability to run custom AWS Lambda code inside Insightly.

The CRM costs $29 per user per month for Plus, $49 for Professional and $99 for Enterprise, billed annually, with a 14 day trial that needs no card. Record limits run from 100,000 to 500,000, file storage from 10 to 250 GB and mass email caps from 2,500 to 10,000 a day. Insightly also sells Marketing automation priced per account from $99 a month, a Service desk, and AppConnect, a no code integration engine with hundreds of connectors starting at $799 a month plus a $3,000 setup fee. The All in One bundles combine all four from $349 a month.

Insightly holds a SOC 2 Type II attestation, acts as a HIPAA business associate, runs on AWS and publishes service status. For EU transfers it still claims certification under the Privacy Shield frameworks that the EU Court of Justice invalidated in 2020. It sells into agencies, consulting, finance, healthcare, manufacturing, professional services and solar, and operates alongside the Unbounce landing page builder under the same corporate group.

Capability Axes

17 of 17 axes rated · 8 graded A or B

AI Capability
AI CentralityAI CentralityWhether AI is the product or a feature veneer. The removal test: peel the AI label off, and does anything sellable remain?
CC on AI CentralityAI features on a conventional platform. Peel the AI label off and the product still works roughly as before.
Vendor Published

AI Copilot answers questions and automates tasks within 75 or 100 monthly queries, and AI drafts email summaries and replies. Pipelines, routing, workflows, projects, reporting and the API carry the product without it, and the Plus plan ships with no Copilot at all.

Autonomy and Oversight ModelAutonomy and Oversight ModelWhat the system does without a human. Draft for review, auto send, or fully agentic, and what contains a bad run.
CC on Autonomy and Oversight ModelAutonomy is claimed or implied with the oversight model asserted rather than documented. Buyers cannot tell from public sources what runs unsupervised.
Vendor Published

Workflow automation, lead routing and Copilot task automation act on records without a person stepping in each time. Enterprise audit logging records what was done, by whom and when, and sandboxes let admins test changes first. What Copilot may change on its own, and how an automation that misfires is stopped, are not described.

AI Disclosure and Model TransparencyAI Disclosure and Model TransparencyWhat models power the product, whether AI generated outreach discloses itself, and whether scoring and routing logic is explainable.
CC on AI Disclosure and Model TransparencyThe product is described as AI powered with the stack, the disclosure behavior, and the scoring logic all unstated.
Vendor Published

Copilot and the email summary and reply features are presented as AI assistance, with the underlying models and providers unnamed. Replies drafted with AI go out under the user's name with no marking.

Operational and Outcome EvidenceOperational and Outcome EvidenceMeasured outcomes with a stated basis: replies, meetings, pipeline, win rates. Logos are not evidence and prestige is not measurement.
CC on Operational and Outcome EvidenceOutcome claims are headline percentages with no stated basis, or customer logos standing in for results.
Vendor Published

The main figure on offer is that companies aligned across CRM, marketing and support drive 2.5 times more revenue than slower peers, which describes a market pattern rather than Insightly customers. Customer logos and stories fill the rest, without measured pipeline or time saved.

Compliance and Risk
Outreach Compliance PostureOutreach Compliance PostureHow the product handles regulated outreach: consent, DNC scrubbing, opt out mechanics, caller ID conduct, and the public enforcement record.
CC on Outreach Compliance PostureCompliance is mentioned as the customer’s responsibility, with little or no product enforcement described. The tool can be run lawfully, and nothing about it helps.
Vendor Published

Mass email runs from 2,500 to 10,000 messages a day by plan, and scheduled outbound email arrives on Professional. Consent and opt out handling for CRM sends, and CAN SPAM or GDPR duties around them, are left to the customer; fuller list management sits in the separate Marketing product.

Data Privacy PostureData Privacy PostureGDPR and CCPA posture: lawful basis, data subject rights handling, DPA availability, subprocessor disclosure.
BB on Data Privacy PostureA real privacy program is visible (DPA available, policy substantive) with a gap on the hard question, commonly lawful basis for enriched or tracked individuals.
Vendor Published

A DPA, a CCPA addendum and the master agreement come on request from the privacy team, which also takes data subject requests. Subprocessors sign DPAs and CCPA addenda, privacy risk assessments support customers' impact assessments, and separate GDPR and Australian Privacy Act pages exist. For EU transfers Insightly still claims certification under the EU US and Swiss US Privacy Shield frameworks, which the EU Court of Justice invalidated in 2020. Marketing analytics links anonymous browsing history to a prospect once they convert, with no lawful basis stated for that step.

Data Licensing and ProvenanceData Licensing and ProvenanceWhere the data comes from and on what legal footing: licensed, contributed, public record, or scraped, and who stands behind the answer.
BB on Data Licensing and ProvenanceProvenance is substantively described but incompletely: sourcing classes named without the legal footing, or indemnification unstated.
Vendor Published

Records come from the customer: imports of up to 50,000 rows, web to lead forms, synced email and calendars, and business card scans. Insightly sells no contact database of its own. ZoomInfo and similar sources connect only through AppConnect, under the customer's own licenses.

Platform Terms ExposurePlatform Terms ExposureWhether the product operates inside the terms of the platforms it touches, and the restriction risk a buyer inherits when it does not.
BB on Platform Terms ExposureThe method is described and mostly conformant, with one real ambiguity the vendor does not resolve, or conformance asserted without the partnership evidence that would settle it.
Vendor Published

Google and Microsoft 365 calendars, contacts and mail connect through their own integration routes, and cloud files attach from Dropbox, OneDrive, Google Drive and Box. AppConnect links outside services such as Gong and ZoomInfo through connectors, with each party's terms applying to the data that moves.

AI Safety and Data StewardshipAI Safety and Data StewardshipThe cross client boundary: whether customer data trains models that serve competitors, plus retention and deletion posture.
CC on AI Safety and Data StewardshipSecurity language exists but the training question, the one this axis turns on, is unanswered: a buyer cannot tell whether their pipeline data improves a competitor’s instance.
Vendor Published

SOC 2 confidentiality controls cover customer data, and support staff cannot read records without permission granted in the app. Whether CRM content passed to Copilot trains any model, and how long prompts and outputs are kept, are not addressed.

Recipient Disclosure and AuthenticityRecipient Disclosure and AuthenticityHow the product presents itself to the people it targets: whether automated outreach and AI agents disclose themselves, whether sender personas are real, and whether personalization is grounded in verifiable fact. Measured as known compliance with Article 50 of the EU AI Act, in force since August 2, 2026, which requires AI systems that interact with individuals to disclose that fact.
CC on Recipient Disclosure and AuthenticityNothing published on whether recipients are told they are dealing with software. For a product whose AI talks to prospects, silence here is now a regulatory posture, not a style choice.
Vendor Published

AI drafted replies and summaries go out from the user's own mailbox with nothing marking them, and no agent speaks to prospects directly. Insightly takes no position on Article 50 of the EU AI Act.

Integration and Deployment
Ecosystem and Integration DepthEcosystem and Integration DepthDocumented depth of CRM and stack integration: objects, sync direction, API surface, marketplace presence that matches the claims.
AA on Ecosystem and Integration DepthDeep, documented, bidirectional integration with the systems of record: named CRM objects and sync behavior, a public API with real docs, and a marketplace presence that matches the claims.
Vendor Published

A public REST API comes with every plan, webhooks and custom objects with Professional, and AWS Lambda code execution with Enterprise. Email and calendar sync with Google and Microsoft 365 runs both ways, and PandaDoc, QuickBooks and Xero connect natively. AppConnect adds hundreds of prebuilt connectors across finance, HR, sales and IT, and the Marketing and Service apps share one data model with the CRM in real time.

Deployment Model and Data ResidencyDeployment Model and Data ResidencyWhere the product runs and where customer data lives, including residency options for EU buyers.
CC on Deployment Model and Data ResidencyCloud hosted is the whole public answer. Region and residency questions require a sales conversation.
Vendor Published

Insightly runs as hosted software on AWS with service status open to the public. Hosting regions and any EU or Australian residency option are not stated.

Security Certifications and Trust CenterSecurity Certifications and Trust CenterVerifiable security posture: enumerated current certifications and a trust center an outsider can actually read.
BB on Security Certifications and Trust CenterCertifications named and plausible with a gap: no trust center, stale dates, or asserted without enumeration.
Vendor Published

Insightly holds a SOC 2 Type II attestation, with the report available through a customer success manager or account executive, and it operates as a HIPAA business associate for protected health information. Security awareness training, subprocessor DPAs and a public status page support it, and Enterprise adds SAML, SCIM, field permissions and audit logging. The audit period is not shown.

Commercial and Operational
Commercial TransparencyCommercial TransparencyWhether a buyer can budget without a sales call. Published pricing graded on completeness, not on the price itself.
AA on Commercial TransparencyReal prices published: plans, seat or usage economics, and the shape of enterprise pricing, sufficient for a buyer to budget without a call.
Vendor Published

Plus costs $29, Professional $49 and Enterprise $99 per user per month on annual billing. Record limits, storage, import sizes, daily email caps, custom fields and Copilot queries are set out by plan. AppConnect starts at $799 a month with a required $3,000 setup, and the All in One bundles add required onboarding at $1,500 and premier support at 20 percent of license.

Exit and Data PortabilityExit and Data PortabilityWhat happens when a customer leaves: completeness of data export, rights to enriched or licensed data after termination, deletion commitments, and auto renewal mechanics, graded from published terms and documentation.
CC on Exit and Data PortabilityExport exists as a feature claim while the terms that govern exit, data rights after termination, deletion, and auto renewal mechanics, are not published anywhere a buyer can read.
Vendor Published

Data portability support is part of the privacy program, records can be exported, and the REST API can pull data out. Renewal notice periods, the retrieval window after termination and deletion timelines are not set out where a buyer can read them before signing.

Deliverability and Sending DisciplineDeliverability and Sending DisciplineThe operational craft of sending: warmup, rotation, volume governance, spam rate monitoring, and what happens when reputation degrades.
BB on Deliverability and Sending DisciplineReal deliverability features documented, with the operating discipline (limits, monitoring, intervention) asserted rather than specified.
Vendor Published

CRM mass email is capped at 2,500, 5,000 or 10,000 messages a day by plan, and sends can be scheduled. Insightly Marketing adds email health reporting, A and B testing and send volumes tied to prospect counts. Warmup and what happens when a sender's reputation drops are not described.

Segment and Market CoverageSegment and Market CoverageWho the product actually serves, evidenced: segments, geographies, languages, and customers that match the claim.
BB on Segment and Market CoverageSegment focus is clear and evidenced with a gap in geographic or language specifics.
Vendor Published

Insightly targets small and midsize businesses in agencies, consulting, finance, healthcare, manufacturing, professional services and solar, with role pages for sales, marketing, operations and product teams. Knightscope and Brooklyn Outdoor are among customer logos, and a dedicated Australian privacy page shows reach beyond the United States.
