Proposify vs Qwilr (2026)

Last VerifiedOctober 13, 2026
Verdict

A team whose manager signs off on price before anything reaches the buyer belongs on Proposify, and a team that wants the proposal to work as a web page the buyer configures, signs and pays on belongs on Qwilr. Proposify builds branded documents from a content library and trade templates, and on Grow it holds a document for approval when the total, a discount or a line item discount meets a rule, with pages and single elements lockable by role. Qwilr publishes a live page with quote blocks, an ROI calculator, embedded media, signature and QwilrPay in one place, and on Scale its Smart Proposal Engine drafts from CRM data and call notes while keeping AI away from pricing and contract sections. Five users cost the same $2,100 a year on Build and Starter, while Grow at $3,900 runs above Growth at $3,300. Qwilr keeps customer data in Sydney and switches pages off when a subscription ends, and Proposify stores everything in Northern Virginia with no published terms for access after cancellation.

  • A franchise or multi location business wants separate workspaces that a parent company oversees and shares templates with.
  • Service teams quote recurring scopes from a product catalog and trade specific templates for landscaping, cleaning or construction.
Select Qwilr if
  • Buyers should configure a quote, sign and pay on one hosted page, with partial or recurring payments through QwilrPay.
  • Sellers want to restrict a live link by password, expiry date, view count or email domain and see who opened it.
  • Revenue operations plans to generate proposals from CRM records at volume through the API, the MCP connection or the Smart Proposal Engine.

In Summary

The short version of each

Proposify

Proposify is a proposal and quoting tool aimed at service businesses, with template galleries for consulting, landscaping, janitorial and construction work, a product catalog that holds services and prices, and interactive quotes where a buyer picks optional fees or changes quantities. Build costs $420 a user a year, or $49 a month billed monthly, and covers unlimited documents and signatures, AI writing and an MCP server for Claude. Grow, at $3,900 a year for five users, adds roles, approval workflows, custom fields and the API, and Scale adds SSO, separate franchise workspaces and the Salesforce managed package. Collaborator seats let a reviewer edit or approve without sending. The GTM Tech Index grades it B on oversight because approvals fire on price total and discount thresholds, and signed documents lock with the signer's IP address and time recorded.

Qwilr

Qwilr turns a proposal into a hosted page with quote tables or tiered plan blocks, an ROI calculator, embedded video and calendars, an accept block, electronic signature and QwilrPay for partial, full or recurring payments. Starter costs $35 a user a month on yearly billing, Growth $55 with at least five users and Scale $75 with at least ten. Plans include 40, 200 or 600 free automated documents, API access with usage costs and the MCP connection for Claude or ChatGPT, while Scale adds the Smart Proposal Engine, AI Prefill, conditional content and Salesforce. Senders can lock a page with a password, an expiry date, a view cap or a domain list and see exactly who opened it. The GTM Tech Index grades Qwilr A on commercial transparency, as each plan rate, document allowance and credit bundle down to $1.50 a document is printed.

Buyer Questions

Common questions

Can a manager approve discounts in Proposify or Qwilr before a proposal is sent?

Proposify can, from Grow upward. Approval workflows hold a document for a named role when the price total, the discount percentage or a line item discount meets a condition, and roles can lock whole pages or single elements. Qwilr's plan table has no approval step; it offers edit or view only permissions, team level permissions on Scale and template settings that push expiry dates and access rules to every page, and the Smart Proposal Engine lets leaders keep AI out of pricing and contract sections. On autonomy and oversight, the GTM Tech Index puts Proposify at B and Qwilr at C.

What do Proposify and Qwilr cost for a five person sales team?

On the entry plans the bill is identical: five Build seats at $420 a year each and five Starter seats at $35 a month each both come to $2,100 a year. The middle plans differ, with Proposify Grow at $3,900 a year for five users against Qwilr Growth at $55 a user a month, or $3,300 a year. Qwilr adds usage charges once generated documents pass the plan allowance, at $2.50 each or less in bundles, and Proposify sells custom template design for $1,500 and a $2,000 launch kit. The GTM Tech Index grades Qwilr A and Proposify B on commercial transparency, because Proposify's page still carries an older table of send limits, overage charges and $9 integration add ons beside the current plans.

What happens to sent proposals after cancelling Proposify or Qwilr?

Qwilr cancellations take effect at the end of the billing period, after which pages are turned off, account access ends and all customer data is deleted within 30 days, so a buyer holding a link loses it. Before leaving, a customer can download pages as PDFs, keep the audit trail and export account data on acceptance, engagement and viewing. Proposify also ends at the close of the term with no refund, exports any document as a PDF that matches the digital version and offers a CSV of all documents, but its terms do not say how long documents and signature records stay available afterward. Graded by GTM Tech Index against seventeen capability axes from each vendor's own published materials, verified October 13, 2026. No vendor pays for placement.

Where is Proposify and Qwilr customer data stored, and is it used to train AI?

Proposify hosts on Amazon Web Services and stores all customer data in Northern Virginia. Qwilr stores and processes customer data in Sydney, also on AWS, and runs AI inference through Groq in the United States without storing data there. Both rule out training on customer data in writing, Proposify in its terms of service and Qwilr on its trust page, which also covers the language models it uses. The GTM Tech Index grades both B on AI safety and data stewardship, since neither states how long prompts and generated text are kept.

Do Proposify and Qwilr have SOC 2 reports?

Yes. SOC 2 Type 2 certification at Proposify covers security, availability and confidentiality, audited by 360 Advanced, and the report is emailed on request. Qwilr completes a SOC 2 Type 2 audit each year, monitors controls in Drata and lists its 2025 report on a trust dashboard alongside policies, subprocessors and penetration testing done annually and after major changes. Both run card payments through Stripe. In the GTM Tech Index each holds B for security certifications and trust center, with neither showing the audit period on its public pages.

Disclosure

Both products report reading behavior on identified recipients: Proposify shows when each recipient opens a document and the time spent in each section, and Qwilr's identity analytics show who viewed a page, including colleagues it was forwarded to. Neither publishes what a reader is told about that tracking. Qwilr pages can also be edited after sharing, and nothing published says whether a buyer is notified of the change.
