PandaDoc vs Proposify (2026)

Last VerifiedOctober 13, 2026
Verdict

PandaDoc and Proposify both build, send and track sales documents, and the choice turns on breadth against a proposal tool tuned for service businesses. PandaDoc covers quotes, proposals, contracts, forms and payments in one editor, with a free plan, Starter at $19 and Business at $49 per seat a month on annual billing, deal rooms, approval workflows, collected payments and identity checks such as SMS and knowledge based verification. Proposify concentrates on the proposal itself: a drag and drop editor, a content library, interactive quotes that let buyers pick options, and a template library organized by trade for consultants, landscapers, cleaners and builders. Its Build plan costs $35 per user a month with unlimited documents, and approvals, permissions and the API arrive on Grow at $3,900 a year for 5 users. PandaDoc reaches further into signing law, with SOC 2, eIDAS and qualified signatures on annual plans, and Proposify puts its effort into how the proposal reads. A trades or agency team that lives in proposals fits Proposify; a team that also needs contracts, forms and payments in one place fits PandaDoc.

Select PandaDoc if
  • A free plan matters, and 5 documents a month at $0 covers occasional signing before anyone pays.
  • Contracts and forms need identity checks, with SMS, passcode and knowledge based verification on Business.
  • Quotes should collect payment on acceptance through Stripe, Square, PayPal or another of six gateways.
Select Proposify if
  • The business sells services by the job, and templates organized by trade, from concrete work to catering, save the first draft.
  • Buyers should choose between options inside the proposal, with interactive quoting and a product catalog on every plan.
  • A manager wants to see which sections a prospect read and for how long, with document analytics included from Build.

The short version of each

PandaDoc

PandaDoc is a document workflow platform for proposals, quotes, contracts and forms. A drag and drop editor, templates and a content library feed documents that are tracked, signed and stored without limit, and Business at $49 per seat a month on annual billing adds custom quotes with pricing tables and a product catalog, collected payments, deal rooms, approval workflows, CRM integrations and recipient analytics. Enterprise adds configure price quote, workflow automation, smart content, single sign on and a choice of US or EU data residency. Documents created through the API or automations use Usage Credits sold in packs. Signers can be checked by passcode, SMS or knowledge based authentication, and the GTM Tech Index grades it B on recipient disclosure for that signing evidence, and B on commercial transparency, as a dozen options carry no price.

Proposify

Proposify is proposal software built for businesses that sell services by the job, naming consulting and professional services, landscaping, cleaning and janitorial work and construction as its markets. Build, at $35 a user each month on a yearly plan, gives each seat unlimited documents and signatures, a content library, interactive quotes, a product catalog, AI with an MCP server, and analytics showing how long each recipient spends in each section. Grow, at $3,900 a year for 5 users, adds roles and permissions, approval workflows, account metrics, custom fields and the API; Scale, at $12,800 a year for 10 users, adds single sign on, workspaces and a dedicated success manager. Template design costs $1,500. The GTM Tech Index grades Proposify B on segment coverage for that trade focus and B on security certifications, since its SOC 2 Type 2 audit names 360 Advanced as auditor and the report is shared on request.
