Calendly

Calendly is best known as a scheduling link, and its sales offering builds on that core to turn inbound interest into booked meetings with the right rep. Routing forms screen visitors with qualifying questions and send each one to the right person or team, either from Calendly's own forms or from existing HubSpot, Pardot or Marketo forms. Round robin distribution spreads meetings across a team, reps can book on behalf of colleagues, and on Enterprise a Salesforce lookup routes known accounts straight to their owner.

AI sits around the meeting itself. Notetaker joins Zoom, Google Meet and Microsoft Teams calls to produce recaps, action items and drafted follow up emails, and Callie, an assistant still in beta, can be copied into an email thread at callie@calendly.com to propose times, handle replies and book the meeting. Both are add ons to the Standard and Teams plans and work only in English for now.

Standard costs $10 per seat per month on yearly billing and connects HubSpot and Mailchimp. Teams costs $16 and adds round robin scheduling, Salesforce sync, Marketo and Pardot routing and an optional SSO add on. Enterprise starts at $15,000 a year for 50 seats with Salesforce lookup routing, SSO and SAML, domain control, audit logs, a data deletion API, onboarding and dedicated account support. Only the people hosting meetings need seats; invitees never do.

Calendly says more than 20 million professionals use it. It holds SOC 2 Type 2, SOC 3, ISO 27001 and PCI compliance, offers a trust center for security reviews, and does not sell customer data or use it to train AI models, a ban that extends to its AI providers.

AI Capability
AI CentralityAI CentralityWhether AI is the product or a feature veneer. The removal test: peel the AI label off, and does anything sellable remain?
CC on AI CentralityAI features on a conventional platform. Peel the AI label off and the product still works roughly as before.
Vendor Published

Routing forms, round robin rules, Salesforce lookups and booking pages decide who meets whom without any model. Notetaker and Callie add AI recaps, drafted follow ups and email scheduling as paid add ons, and the routing product works exactly as before without them.

Autonomy and Oversight ModelAutonomy and Oversight ModelWhat the system does without a human. Draft for review, auto send, or fully agentic, and what contains a bad run.
BB on Autonomy and Oversight ModelThe human in the loop posture is described substantively (draft versus auto send, approval flows) but the failure containment story is incomplete.
Vendor Published

Routing runs on rules an admin writes: form answers, round robin pools and, on Enterprise, Salesforce ownership. Follow up emails from Notetaker arrive as drafts. Callie acts with more freedom, proposing times, replying in the thread and booking once a user copies it in. Limits on what Callie may promise or change are not described.

AI Disclosure and Model TransparencyAI Disclosure and Model TransparencyWhat models power the product, whether AI generated outreach discloses itself, and whether scoring and routing logic is explainable.
BB on AI Disclosure and Model TransparencyMeaningful disclosure of the model stack or the disclosure posture, with one real gap, commonly silence on whether AI authored outreach identifies itself.
Vendor Published

Callie works from its own address at calendly.com, so invitees see a named assistant in the thread, and Notetaker joins calls as a participant. The third party models behind both are not named, and routing decisions follow rules the admin can read rather than a score.

Operational and Outcome EvidenceOperational and Outcome EvidenceMeasured outcomes with a stated basis: replies, meetings, pipeline, win rates. Logos are not evidence and prestige is not measurement.
CC on Operational and Outcome EvidenceOutcome claims are headline percentages with no stated basis, or customer logos standing in for results.
Vendor Published

Calendly cites more than 20 million professionals as users. Speed to lead, conversion from form to meeting, and show rates for routed meetings are not measured against a stated population or period.

Compliance and Risk
Outreach Compliance PostureOutreach Compliance PostureHow the product handles regulated outreach: consent, DNC scrubbing, opt out mechanics, caller ID conduct, and the public enforcement record.
CC on Outreach Compliance PostureCompliance is mentioned as the customer’s responsibility, with little or no product enforcement described. The tool can be run lawfully, and nothing about it helps.
Vendor Published

Customers decide what notice and consent their invitees need before data reaches Calendly. Booking confirmations and reminders go to people who asked for a meeting, while Notetaker recording consent and any marketing follow up are left to the customer's own policies.

Data Privacy PostureData Privacy PostureGDPR and CCPA posture: lawful basis, data subject rights handling, DPA availability, subprocessor disclosure.
BB on Data Privacy PostureA real privacy program is visible (DPA available, policy substantive) with a gap on the hard question, commonly lawful basis for enriched or tracked individuals.
Vendor Published

Calendly acts as processor for customer data under a published Data Processing Addendum and customer terms, and certifies under the EU US Data Privacy Framework. Invitees are pointed to the customer that collected their data for their rights. The basis for recording invitees through Notetaker rests with the customer.

Data Licensing and ProvenanceData Licensing and ProvenanceWhere the data comes from and on what legal footing: licensed, contributed, public record, or scraped, and who stands behind the answer.
BB on Data Licensing and ProvenanceProvenance is substantively described but incompletely: sourcing classes named without the legal footing, or indemnification unstated.
Vendor Published

Everything routed comes from the customer's forms, calendars and CRM, plus the details invitees enter themselves. Calendly supplies no outside contact data. Salesforce lookups use the customer's own account ownership records.

Platform Terms ExposurePlatform Terms ExposureWhether the product operates inside the terms of the platforms it touches, and the restriction risk a buyer inherits when it does not.
BB on Platform Terms ExposureThe method is described and mostly conformant, with one real ambiguity the vendor does not resolve, or conformance asserted without the partnership evidence that would settle it.
Vendor Published

Calendars connect through Google and Microsoft, CRM routing through Salesforce and HubSpot, and form routing through HubSpot, Pardot and Marketo, all as approved integrations. Notetaker joins Zoom, Meet and Teams as a visible participant. A stated conformance position for each platform is not given.

AI Safety and Data StewardshipAI Safety and Data StewardshipThe cross client boundary: whether customer data trains models that serve competitors, plus retention and deletion posture.
AA on AI Safety and Data StewardshipThe cross client boundary is answered in writing: whether customer data trains shared models, with opt out or contractual exclusion documented, plus retention and deletion specifics.
Vendor Published

Customer data and AI outputs serve only that customer: they do not train models across customers and are not shared between them. Calendly does not sell customer data or train AI on it, and its third party AI providers are contractually barred from training on it.

Recipient Disclosure and AuthenticityRecipient Disclosure and AuthenticityHow the product presents itself to the people it targets: whether automated outreach and AI agents disclose themselves, whether sender personas are real, and whether personalization is grounded in verifiable fact. Measured as known compliance with Article 50 of the EU AI Act, in force since August 2, 2026, which requires AI systems that interact with individuals to disclose that fact.
BB on Recipient Disclosure and AuthenticityDisclosure is available and documented but not the default, or the persona and personalization posture is substantively addressed with one real gap, commonly silence on the Article 50 obligations that took effect in August 2026.
Vendor Published

Callie appears in email threads under its own calendly.com address and Notetaker joins meetings by name, so invitees can see software is involved. Whether Callie's messages state outright that they are written by AI, and how Calendly reads Article 50 of the EU AI Act, are not stated.

Integration and Deployment
Ecosystem and Integration DepthEcosystem and Integration DepthDocumented depth of CRM and stack integration: objects, sync direction, API surface, marketplace presence that matches the claims.
BB on Ecosystem and Integration DepthSolid primary CRM integration documented, with depth unstated at the edges (sync direction, custom objects, failure behavior).
Vendor Published

Standard connects HubSpot and Mailchimp, Teams adds sending meetings to Salesforce, and Enterprise routes on Salesforce lookups. Routing reads HubSpot, Pardot and Marketo forms directly, and Zoom, Meet and Teams links attach to bookings. Object mappings and sync direction are not spelled out alongside the plans.

Deployment Model and Data ResidencyDeployment Model and Data ResidencyWhere the product runs and where customer data lives, including residency options for EU buyers.
CC on Deployment Model and Data ResidencyCloud hosted is the whole public answer. Region and residency questions require a sales conversation.
Vendor Published

Calendly runs as hosted software with transfers from Europe covered by the Data Privacy Framework. Hosting regions and any EU data residency option are not named.

Security Certifications and Trust CenterSecurity Certifications and Trust CenterVerifiable security posture: enumerated current certifications and a trust center an outsider can actually read.
BB on Security Certifications and Trust CenterCertifications named and plausible with a gap: no trust center, stale dates, or asserted without enumeration.
Vendor Published

Calendly holds SOC 2 Type 2, SOC 3, ISO 27001 and PCI compliance, and its trust center serves security and compliance documents for procurement reviews. Domain control, SSO and SAML arrive on Enterprise, with SSO an add on for Teams. Audit dates are not shown.

Commercial and Operational
Commercial TransparencyCommercial TransparencyWhether a buyer can budget without a sales call. Published pricing graded on completeness, not on the price itself.
AA on Commercial TransparencyReal prices published: plans, seat or usage economics, and the shape of enterprise pricing, sufficient for a buyer to budget without a call.
Vendor Published

Standard costs $10 and Teams $16 per seat per month on yearly billing, which saves up to 20 percent over monthly, and Enterprise starts at $15,000 a year from 50 seats. Only hosts need seats, never invitees. Notetaker and Callie are sold as add ons to Standard and Teams, and Enterprise customers ask about Notetaker access through sales.

Exit and Data PortabilityExit and Data PortabilityWhat happens when a customer leaves: completeness of data export, rights to enriched or licensed data after termination, deletion commitments, and auto renewal mechanics, graded from published terms and documentation.
CC on Exit and Data PortabilityExport exists as a feature claim while the terms that govern exit, data rights after termination, deletion, and auto renewal mechanics, are not published anywhere a buyer can read.
Vendor Published

The DPA governs return and deletion of customer data, Notetaker transcripts can be downloaded, and Enterprise adds a data deletion API and audit logs. A full export of routing forms, booking history and settings, and renewal notice terms, are not set out beside the plans.

Deliverability and Sending DisciplineDeliverability and Sending DisciplineThe operational craft of sending: warmup, rotation, volume governance, spam rate monitoring, and what happens when reputation degrades.
CC on Deliverability and Sending DisciplineDeliverability is invoked as a benefit with no documented mechanism. For senders this is the axis where marketing most outruns evidence.
Vendor Published

Calendly sends confirmations, reminders and workflow emails to invitees who booked, and Callie writes into email threads. Sending volume tracks the bookings themselves, and no warmup, rate limits or reputation controls are described.

Segment and Market CoverageSegment and Market CoverageWho the product actually serves, evidenced: segments, geographies, languages, and customers that match the claim.
BB on Segment and Market CoverageSegment focus is clear and evidenced with a gap in geographic or language specifics.
Vendor Published

Plans run from a free single user tier to Enterprise at 50 seats and up, and the routing features aim at revenue teams handling inbound demand from HubSpot, Pardot and Marketo forms. More than 20 million professionals use Calendly worldwide. Enterprise is sold in dollars only, and the AI add ons work only in English.
